Privacy Policy
Raclip is a product of Fast Medical AI, Inc ("we", "us"). This policy explains what we collect, why we collect it, and what we do with it — across the Raclip device, the web console at app.raclip.ai, our APIs and SDKs, and this website.
The short version: recordings you capture belong to your organization. We store them so we can hand them back to you, and for nothing else. We don't sell data, we don't run ads, and we don't use your audio to train models.
1. What we collect
- Account information. When you sign in with Google or Microsoft, we receive your name, email address, and profile identifier from that provider. We do not receive or store passwords.
- Organization data. Organization name, member list and roles, device claims and assignments, API keys you create, and webhook endpoints you configure.
- Audio recordings. The Raclip device records only when a user starts a session by pressing the record button. Recordings are encrypted in transit and uploaded to your organization's storage, where they are available to your organization through the console, REST API, and SDK.
- Device telemetry. Device identifier, firmware version, battery and charge status, connectivity heartbeats, and the Wi-Fi network configurations you provision. Wi-Fi credentials are stored encrypted.
- Logs. Standard request logs — IP addresses, timestamps, endpoints — kept for security and debugging.
- This website. The invite form composes an email in your own mail client; we receive only what you choose to send. We use no advertising trackers.
2. How we use it
- To operate the service: capture, store, and deliver recordings to your organization.
- To manage devices: registration, provisioning, connectivity, and over-the-air firmware updates.
- To secure the service: authentication, authorization, abuse prevention, and audit logging.
- To support you when you ask for help.
We do not sell personal information, share it for advertising, or use customer audio to train machine-learning models.
3. Recording laws are your responsibility
4. Where data lives and how it's protected
- Data is hosted on Amazon Web Services in the United States.
- All traffic is encrypted in transit with TLS; recordings and databases are encrypted at rest.
- Device uploads use short-lived, single-purpose credentials scoped to the specific recording being uploaded.
- Access to recordings is scoped to your organization; our staff access customer content only when required to operate the service or when you ask us to.
5. Subprocessors
We use a small set of service providers to run Raclip:
- Amazon Web Services — hosting, storage, and infrastructure.
- Okta (Auth0) — sign-in and identity.
- Google / Microsoft — OAuth sign-in, if you choose them.
- Cloudflare — this website and content delivery.
6. Retention and deletion
Recordings and metadata are retained until your organization deletes them or closes its account. You can delete individual recordings at any time through the console or API; deletion removes both the audio file and its database record. When an organization is closed, its content is deleted from production systems promptly and rolls out of backups on their normal cycle.
7. When we share data
Only three cases: within your own organization (that's the product), with the subprocessors above (to run the product), and when the law genuinely requires it. If we're ever compelled to disclose customer content, we'll notify the affected organization unless we're legally barred from doing so.
8. Healthcare and regulated environments
Raclip is used in clinical and field-care settings. If your organization is subject to HIPAA or similar regulations and intends to capture protected health information, contact us at sales@raclip.ai before deployment so we can put the appropriate agreements in place.
9. Your rights
You can access, correct, export, or delete your personal information. Organization admins can do most of this directly in the console; for anything else, email support@raclip.ai and we'll handle it. Depending on where you live, you may have additional rights under laws like the GDPR or CCPA — the same address is the way to exercise them.
10. Children
Raclip is a professional tool. It is not directed at children, and we do not knowingly collect personal information from anyone under 16.
11. Changes
If we change this policy, we'll update the date at the top and, for material changes, notify organization admins by email before the changes take effect.
